Physical Access Fob Policy


The purpose of this policy is to protect the building from a potential unmanegable access control system due to a large number of untraceable access tokens being in circulation. Allowing such a system reduces security and fails to utilise the full functionality of the access control system.


Mobile phone access is preferred as it provides a quick and simple means of access for owners and residents and reduces the adminstration required by the Management Team. Owners can find information on how to register their mobile phones here and tenants can do so by clicking here.


If a physical fob is required, the following points form part of the Fob Access Policy. Owners and Residents must indicate acceptance of this policy before a fob is to be issued.


  1. Fobs are sole responsibility of the person to whom they are issued.
  2. The Management Team or RTM Company accept no liability for the Fobs once they are issued to an Owner, Tenant or Property Agent.
  3. Fobs must be either collected during working hours of 9am-5.30pm or delivered by recorded delivery to an address agreed in writing.
  4. Any person collecting a Fob must provide valid identification.
  5. Postage costs will be incurred by the person requesting the Fob.
  6. Proving a replacement for a lost or replacement Fobs will incur a reasonable adminstration charge.
  7. Any lost or damaged Fob will be cancelled by the Management Team.
  8. The Management Team reserves the right to deactivate any Fob where the Management Team cannot identify the specific Fob that has been lost or damaged. E.g. if there are mutilple Fobs issued for a Unit and it is not possible to identify which Fob is lost, the Management Team may deactivate all Fobs issued to that Unit.
  9. The Management Team will make reasonable efforts to identify the specific Fob that is lost or damaged.
  10. The Management Team will make reasonable efforts to re-program any Fob that has been deactivated pursuant to point 8 upon presentation of that Fob to the Management Team.
  11. Any Fob not utilised for a period of 12 consecutive months will be deactivated.


Definitions:

Fob or Fobs means a physical access token issued by the Management Team. This may be a fob, card or other physical token supported by the system.

Management Team means any idividual duly authorised by the RTM Company to administer the management functions of the RTM Company.

RTM Company means the Hicking Building RTM Company Ltd

Unit means a specific flat within the building.
